Tender opportunities can move quickly, while a new or enhanced guarantee facility may require credit appraisal and documentation. Early preparation reduces the risk of discovering a limit or wording issue close to the submission date.

1. Identify the type of guarantee

Bid bonds, performance guarantees, advance-payment guarantees and retention guarantees serve different purposes. Confirm the amount, beneficiary, validity, claim period and expected release mechanism.

2. Review the tender wording

Use the beneficiary's prescribed format and check whether it contains unusual, open-ended or onerous clauses. Any deviation requested from the bank may need the beneficiary's acceptance, so issues should be identified early.

3. Forecast the tender pipeline

Estimate expected bids, likely award rates, guarantee percentages, overlap between projects and the period for which limits may remain blocked. This creates a more credible view of peak non-fund based requirements.

4. Check existing limits and terms

Review available sanction, utilisation, sub-limits, margin requirements, commission, collateral and documentation. If enhancement or a new facility is needed, allow enough time for appraisal and sanction.

5. Consider the cash-flow effect

Although a guarantee is non-fund based, cash margin, commission and collateral requirements can affect liquidity. The potential impact of invocation should also be understood.

6. Prepare documents early

Keep the tender, draft guarantee, contract information, financial statements, projections, KYC, security papers and internal approvals ready. Ensure names, amounts and dates match across documents.
